Who we are
Active Travel England (ATE) is the data controller for the personal data processed as part of the Making Active Places conference WhatsApp channel.
This privacy notice explains how we use your personal data if you choose to join the WhatsApp channel.
Why we are processing your data
The WhatsApp Channel is intended to provide delegates with timely information relating to the Making Active Places conference, including:
- event announcements
- programme updates
- venue and logistics information
- important conference notices
- information relevant to delegates during the event
Joining the channel is entirely optional.
What personal data we process
If you choose to join the WhatsApp channel, personal data may be processed through the WhatsApp platform, including:
- your mobile telephone number
- your WhatsApp account information
- information relating to your membership of the channel
- basic engagement information made available through the platform
We do not intend to collect or process special category personal data through the channel.

Under UK GDPR, our lawful basis for processing your personal data is:

By actively joining the WhatsApp channel you give your consent for us to process your personal data in line this privacy notice.
Who we share your data with
The channel is hosted on WhatsApp, a service provided by Meta.
Your information will therefore also be processed in accordance with WhatsApp's and Meta's own privacy arrangements and terms of service.
Within Active Travel England, access will be restricted to authorised staff responsible for organising and managing conference communications.
We will not use your information for unrelated marketing activities.
International transfers
Because WhatsApp is provided by Meta, your personal data may be processed outside the United Kingdom.
Where this occurs, safeguards are the responsibility of the platform provider and are explained in WhatsApp's and Meta's privacy documentation.
How long we keep your information
The WhatsApp Channel will be retained only for as long as necessary to support conference communications.
Following the conference, the channel will be closed.
Any information retained by Active Travel England will be managed in accordance with departmental records management requirements.
Your choices
Participation is voluntary.
You can:
- choose not to join the channel
- leave the channel at any time
- control your WhatsApp account settings directly within the platform
